How iListBox Works

iListBox is Software that runs on your computer.  The following information provides details about some of iListBox’s features and benefits. Some examples are provided to illustrate the software’s benefits.

This information also provides basic definitions of some of the key terms used in the software such as: List Boxes, List Specifications, List Items, and Elements.

List Boxes

List Boxes are the center of everything in iListBox.  Each list is stored in what is called a List Box.  The iListBox software can manage multiple List Boxes in a single computer. 

For example:  if you’re using iListBox to keep track of your Recipes and your Collection of Books You’ve Read, you would then have two List Boxes on your computer.  Or, you could choose to organize your Recipes into many different List Boxes (maybe by ethnic style of food).  iListBox lets you organize your Lists any way you want.

Members are able to create and edit an unlimited number of List Boxes.  Non-members can only create and edit one list.  If there are other List Boxes on a Non-member’s computer, the software will lock those lists from editing, but the user would still have access to view the information stored in the locked List Box.

List Specifications

iListBox uses a List Specification to define the kind of list stored in a List Box.  The List Specification for Recipes and the Books You’ve Read would be different.  For example, List Specifications for Recipes would include items like: name, ingredients, and instructions.  However, for Books You’ve Read, the List Specifications could include: Title, Author and Date Read.  In either example, List Specification could also include a rating indicating how much you liked/disliked the recipe or book.

One can access or change a List Specification by selecting Specification in any of the iListBox menus.

Both Non-members and Members can create List Specifications.

List Specification Templates

Included with each version of iListBox are many pre-built List Specification Templates.  These can be used to quickly create your own types of List Specifications. 

List Items

A List Item is something you put in a List Box.  Each item in a List is its own List Item.  All the List Items for a List make up the contents of a List Box. 

For Recipes, if would be single recipe.  For Book’s You’ve Read, it would a single book.  The iListBox software is setup so you wouldn’t mix recipe List Item with book List Items.  So if you read one hundred books, you would have one hundred books entered in iListBox as one hundred List Items stored in one List Box.

Elements

Elements are pieces of data that get attached to a List Item.  A List Item can have multiple attached Elements.

In the Book example, if you have many books in your list, the Element feature can be used to add remarks to individual books in the list. 

Many different kinds of Elements are included in the iListBox, such as: Remarks, Comments, Instructions, and Pictures.  Elements types are defined in the software under the Specification Menu and are called Element Master Specifications.  Users can create their own element types as an Element Master Specifications. 

In the Recipe example, Elements are used for the entry of Ingredients and Instructions.

Elements in iListBox are also used as the mechanism to store file attachments and large blocks of formatted text.  Files on your computer such as pictures, word processing documents and web links can be attached in an Element, just like one would attach such a file or link to an e-mail.

Elements are also hieratical; this means, Elements can also be attached to other Elements, in a tree like format.  Such as, one Parent Element (the root of the tree), can have many Children Elements (branches on the tree).  These Children can have Children (leaves on the tree). 

Elements are an advanced optional feature of iListBox.  They don’t need to be used, but they add an incredible about of power to the iListBox software. 

Easy Notes

An Easy Note is an accelerated way to add long notes and short remarks to a List as a Element in a ListItem.  Every List, List Item or Element can support the adding of any kind of long note, short remark, file attachment, web link or program link. 

Any kind of Note can be added to any kind of List. Grouping your notes within Lists, is a better way to manage your note keeping. This way, your notes can grouped into anything your might want to track or keep a record of. 

For Example:
- Classroom notes can be added in a list of the classes you might be taking. 
- Book notes on books can be kept by the books you may want to read or have read. 
- Research notes can be kept by your research subjects. 

Easy Notes are type of Elements which are an advanced optional feature of iListBox. 

Data Notebook

A Data Notebook in iListBox is an easy way to add data into your lists. 

A data notebook is an Element that contains structured fields. These fields are user defined and setup in the Element Master specification.  iListBox includes many pre-built Elements, for all sorts of Lists.

Examples of how Data Notebooks can be used include:
- Sporting event scores and records for you or your children.
- Packing lists for trips. 
- Inventory of things you own or want to buy. 
- Financial records such as investments, listing of expenses or budgets. 
- Record of holiday gifts given or received. 
- Personal achievement records. 

Both the Member and Free Non-member versions of iListBox support the Data Notebooks.

Creating List Boxes (Lists)

Creating a List Specification will create an empty List Box from scratch.  Or, new empty List Boxes can be created by copying or cloning an existing List Box and renaming it to something else.

Part of creating or editing a List Specification includes selecting which kind of Elements can be attached to the List Box’s List Items. 

Deleting

Most of data in iListBox is deleted through an internal Recycle Bin.  So unless otherwise prompted when deleting something, data is never actually deleted until the contents of the Recycle Bin are permanently deleted, just like how files are deleted in the Windows and Mac operating systems.  This feature provides the user an easy to way undelete items that where deleted unintentionally. 

Screen Names

When setting up iListBox for the first time during installation, it’s necessary for the user to pick a login Screen Name and their Age.  Each time when iListBox starts running, the user will need to specify this Screen Name to gain access to the List Boxes under that Screen Name. 

List Boxes are groups by Screen Names.  When logging in under one Screen Name, only those List Boxes for that Screen Name will be visible and accessible.  One person can have multiple Screen Names, although most iListBox users use only one Screen Name.  This way a person can separate their lists.  For example, some lists may be personal; those lists could be entered under a different Screen Name as maybe business related lists, which then would be entered under yet another Screen Name.

A user’s Age is used to make sure younger users are limited from viewing List Boxes that might not contain age inappropriate content.  The ClubListBox feature lets users share List Box content over the Internet, hence the reason for this feature. 

Passwords and Encryption

As an option, Password access to can be added to any screen name. 

For tighter security, Encryption can be added on top of Password access.  If a User has selected to encrypt their data for a Screen Name, they will be asked to type in an encryption key.  A key is similar to a having a second password, however the software uses cryptography in conjunction with the key each time a piece of data is saved and retrieved.  Data is decoded using the key when retrieved and then coded when saved.  These extra steps will make iListBox run slower.

When encryption is chosen as an option, not all the List Boxes, List Items, or Elements need to be encrypted.  Every one of these items has a Private check box.  If this check box is checked, the data will then be encrypted.

If encryption is chosen as an option, when starting iListBox each time, after selecting the Screen Name at login, the user will also need to enter their password and then the encryption key.  Without the correct encryption key (or the password), access to the List Boxes under that Screen Name will be rejected.

Non-members are able to create Passwords.  However, Encryption is a feature only available to Members. 

Sorting and Searching

Many different kinds are flags are included in iListBox to help the user Sort through the contents of their lists faster and with greater efficiency.  Some of these flags include: Bookmarks, lists marked as Private, lists a user has Read, created date ranges, and list data that has been automatically archived.  Besides these included flags, the user can also sort by any piece of data stored in the List Specification or the Element Master Specification for a specific List Box.

In addition to the Sorting features, a full scale advanced Search capability is included in the software.  Searching can be specific to an individual List Boxes, or global (searching across all List Boxes for the logged in Screen Name).  The iListBox software also saves each search request, so a user can repeat a saved search at any time.  

Both Non-members and Members can use the Sorting and Searching features of iListBox. 

History

As you use iListBox, as a convenience the software can keep track of a historical record of the information you have created or accessed on your computer.  Using the Show Recent History feature, it is really easy to revisit this information.  However in the interest of respecting your privacy and security, there are a several options that let set exactly how you want to maintain this history.  For example, one option disables the tracking of your history.  This historical record is very secure and only available to the user who created the records. 

Archiving

Information stored in a List Box may be dated (useful for only a specific period of time).  In that case, a user defined option in the List Specification is available so the user can flag when the contents of their lists should be automatically archived.  When archived, the older contents of the list that have been archived become hidden and removed from regular viewing of a List Box’s contents.  In the case when this data needs to be viewed again, the iListBox user can easily switch to a view to see the archived items.

Both Non-members and Members can use the Archiving features of iListBox. 

Backup and Restore

iListBox contains a built-in Backup and Restore feature. This feature provides one more layer of data protection available to iListBox users.

Replication Exchange Files

The iListBox software has a built-in replication feature.  Replication allows List Boxes data created on one user’s computer to be moved to another user’s computer.  This feature easily lets users share list.

Both Non-members and Members can use the Replication features of iListBox. 

Messaging

A private messaging feature is built into iListBox.  iListBox Messaging is similar in functionality to Internet e-mail; but the transfer of date is private and completely integrated into iListBox. 

Both Non-members and Members can use the Messaging features of iListBox. 

ClubListBox

ClubListBox is an iListBox feature that will be available in the Fall of 2006. As part of iListbox’s automated updates, Members will automatically get this feature.
